Web development services provided by Professionalfoto are custom-built digital solutions created specifically for each client. Unlike physical products, once development work has commenced and time has been invested in your project, it cannot be "returned" in the traditional sense. This policy ensures fair practices for both our clients and our development team.
2. Project Phases and Refund Eligibility
Discovery Phase (Weeks 1-2)
During the initial discovery and planning phase, if you decide to cancel the project:
- Before any work begins: 100% refund of initial deposit minus £150 administrative fee
- After initial consultation but before wireframes: 80% refund of deposit
- After wireframe approval: 50% refund of deposit
Development Phase (Weeks 3-4)
Once active development has commenced:
- No refunds available, but you may pause the project for up to 60 days
- Completed work remains your intellectual property upon final payment
- You may request modifications during the included revision rounds
Testing and Launch Phases (Weeks 5-6)
During final testing and launch preparation:
- No refunds or cancellations permitted
- All revisions must be completed through our standard revision process
- Final payment required before website deployment
3. Revision Policy
Included Revisions
Each service package includes a specific number of revision rounds:
- Starter Package: 2 rounds of revisions
- Professional Package: 3 rounds of revisions
- Enterprise Package: 4 rounds of revisions
Revision Guidelines
- Revisions must be submitted in writing with clear, specific feedback
- Each revision round includes changes to content, layout, and functionality within scope
- Scope changes requiring additional features are quoted separately
- Revision requests must be submitted within 7 days of receiving deliverables
Additional Revisions
Beyond included revisions, additional changes are billed at £75 per hour with a minimum 2-hour charge.
4. Client Responsibilities
To ensure smooth project completion and avoid delays that may affect refund eligibility:
- Provide all required content (text, images, videos) within agreed timeframes
- Respond to revision requests within 7 days to maintain project schedule
- Provide clear, actionable feedback during revision rounds
- Make timely payments according to the agreed schedule
Failure to meet these responsibilities may result in project suspension and forfeiture of refund eligibility.
5. Circumstances for Full Refund
We will provide a full refund in the following situations:
- We fail to commence work within 14 days of the agreed start date (excluding client-caused delays)
- We determine we cannot fulfill your project requirements and notify you before significant work begins
- We breach the terms of our service agreement in a material way
- Technical impossibility of delivering the promised features with current technology
6. Partial Refund Scenarios
Partial refunds may be issued when:
- Project scope is significantly reduced by mutual agreement
- We experience delays beyond 2 weeks from the agreed timeline (excluding client-caused delays)
- Specific deliverables are removed from the project scope
Partial refunds are calculated based on completed work value and time invested.
7. Project Pausing and Resumption
If you need to pause your project:
- Projects may be paused for up to 60 days without penalty
- After 60 days, a £250 reactivation fee applies to resume work
- Projects paused beyond 120 days are considered cancelled
- Cancellation fees apply based on work completed to that point
8. Post-Launch Support
All packages include post-launch support as specified:
- Bug fixes for issues present at launch are covered during the support period
- New feature requests are quoted separately
- Support does not cover issues caused by client modifications or third-party services
- Extended support packages available after initial period expires
9. Intellectual Property Rights
Regarding ownership of developed materials:
- All custom code and designs transfer to you upon final payment
- If project is cancelled mid-development, we retain rights to completed work until payment received
- We may showcase your website in our portfolio unless you request otherwise
- Third-party components (fonts, icons, libraries) remain under their original licenses
10. Refund Processing
When a refund is approved:
- Refunds are processed within 14 business days of approval
- Refunds are issued to the original payment method
- Bank processing times may add 3-5 additional business days
- You will receive email confirmation once refund is processed
11. Dispute Resolution
If you are unsatisfied with any aspect of our service:
- Contact us immediately to discuss your concerns
- We will investigate the issue within 3 business days
- We'll propose a resolution plan including timeline and deliverables
- If unresolved, we may agree to mediation before pursuing formal dispute channels
12. Changes to This Policy
We may update this Return Policy to reflect changes in our business practices. Existing projects are governed by the policy in effect at the time of contract signing. New projects will be subject to the current policy at the time of engagement.
